Managing a Website Then vs. Now: How AI is Changing Website Management

Discover how AI can help small businesses manage and improve their websites more efficiently. Learn how to use artificial intelligence for website content, SEO optimization, content planning, updating old pages, social media and Google Search Console — while keeping human expertise and control at the center.

A few years ago, regularly managing a website for a small business often meant quite a lot of manual and, let’s be honest, rather boring work. You had to come up with a topic for a new article, find information, write the text, choose a title, prepare a description for search engines, create a social media post, update old pages, and deal with technical issues. Each individual task seems small. But when you add them all together, managing and promoting a website can easily take hours. Today, some of this work can be significantly accelerated with the help of artificial intelligence. AI does not replace a specialist and does not turn a website into a tool that promotes itself. But it can become a kind of assistant that takes over much of the routine work. At the same time, relying exclusively on ready-made AI-generated content and barely checking the result can easily have the opposite effect. What has changed? The main change is not that you can now “write a text with one click.” The approach to the work itself has changed. In the past, many tasks had to be started from scratch. Today, you can give AI information about a business, its target audience, a service, or an existing page and get a foundation for further work. For example, instead of asking: “What should I write an article about for my website?” you can set a much more specific task: “I have a beauty salon website in Barcelona. Suggest 10 article topics that could be useful to potential clients and related to the salon’s services.” After that, the ideas can be selected, checked, and turned into a full content plan. This is where AI is particularly useful: it helps you move faster from an idea to a finished piece of content. 1. Finding ideas for new pages and articles Before To come up with a good topic, a website owner or specialist had to analyze independently: * what questions clients ask; * which services need additional explanation; * which topics competitors already cover; * which search queries are related to the business; * which pages could bring new visitors to the website. Analyzing all these points took quite a lot of time. With AI AI can be used as a brainstorming tool. For example, you can ask it to suggest topics for a specific business: “I own a small nail studio in Lloret de Mar. What articles and pages should I add to my website so that they are useful to clients and could attract search traffic?” Once you have a list of ideas, you decide which ones are actually relevant to the business. Choosing is much easier than coming up with everything yourself. AI can suggest dozens of options in just a few minutes, but that does not mean that all of them are automatically good SEO topics. They need to be evaluated in terms of actual services, the target audience, competition, and search demand. 2. Writing an article Before Even when the topic had already been chosen, the most time-consuming part came next — writing the text. You had to: 1. gather information; 2. come up with a structure; 3. write an introduction; 4. develop the topic; 5. create subheadings; 6. write a conclusion; 7. edit the text. If someone does not write regularly, a single article could take several hours. With AI Now you can first ask AI to create an outline and then work on each section separately. For example: “Create an outline for an article about how to choose a website for a small business. The target audience is entrepreneurs who are not familiar with web development.” After that, you can modify the structure, add your own experience, and ask AI to help with individual sections. This is fundamentally different from simply saying: “Write an article for me.” Good results come when a person provides AI with the initial information and controls the content. AI can help with wording, structure, and ideas, but expertise should come from real experience and information about the specific business. 3. SEO for a page Before SEO optimization of a page could be treated as a separate technical task. You had to come up with: * SEO Title; * Meta Description; * H1; * subheadings; * key phrases; * text structure; * internal links. For someone who does not work with SEO regularly, this can be quite challenging. With AI AI can help review an existing page and suggest options for: SEO Title Meta Description H1 H2 key topics that should be covered For example, you can give it the page text and ask: “Review the structure of this page. What could be improved from an SEO and visitor usability perspective?” The result should not be accepted without checking. AI does not automatically see the full picture of search results and does not know all the specifics of a particular website. Therefore, its recommendations are help with the work, not a ready-made SEO strategy. 4. Updating old pages This is one of the tasks that website owners often forget about. Before You had to open an old article, read it in full, and determine yourself: * what is already outdated; * which data needs to be updated; * which sections could be expanded; * which formulations sound poor; * what the reader is missing. As a result, old content often simply remained unchanged for years. With AI You can give AI an existing text and ask it to conduct an audit: “Find information in this article that may be outdated and make a list of what needs to be checked and updated.” After that, you check the specific points and make the changes. This allows old content to be gradually turned into up-to-date material. This is especially useful for websites that already have a large amount of published content. 5. One article can become several publications In the past, creating content for a website and social media often happened separately. First, the article was written. Then you had to come up with a post for Instagram, Facebook, or LinkedIn. Then — a shorter version for another platform. With AI One complete article can become the foundation for several pieces of content. For example: Website article → short post → several Instagram ideas → questions for the audience → short video script → several headlines. This does not mean that the same text should simply be copied everywhere. On the contrary, AI can help adapt one idea to different formats. As a result, one well-prepared piece of content can work across several channels at once. 6. Creating a content plan Before A content plan often had to be created manually. For example: “What should I publish next week?” And a week later, the same question came up again. With AI You can provide the initial information: * what the company does; * which services it offers; * who its clients are; * which city it operates in; * which questions clients ask most often; * what the goals of the website are. And ask it to create a monthly publishing plan. For example: Week 1: useful article Week 2: answer to a frequently asked client question Week 3: service description Week 4: practical tip The plan can then be adjusted based on the results. 7. Working with Google Search Console Google Search Console allows you to see which queries your website appears for in search results, how many users visit your pages, and which pieces of content receive impressions. But the reports can look confusing to someone who does not work with SEO. AI can help make sense of the data. For example: “Here is a list of search queries and the pages that appear for them. Which pages should be optimized further and why?” Or: “Here are the queries for which my page receives impressions but few clicks. What Title variations could I test?” This is a more interesting way to use AI. It does not replace Search Console itself, but it helps interpret information faster and turn it into specific tasks. As you can see, AI is a wonderful assistant But it has one important limitation. AI does not know your business the way you do. It can suggest an article idea about a beauty salon, but only the salon owner knows which questions their clients actually ask. AI can write a service description, but the specialist should check whether it accurately reflects the real procedure. AI can suggest an SEO structure, but it must correspond to the specific page and the business objective. Therefore, the most effective approach is not “AI does everything”, but “AI helps a person do more in the same amount of time.” A website does not end at the moment of publication Creating a website is only the beginning. After launch, new tasks appear: * What should be added? * What should be updated? * Why is this page getting impressions but few clicks? * Which client questions should be covered? * Which services need a more detailed description? * Which pages can be improved? This is exactly where modern AI tools become particularly useful. A website can be regularly developed, updated, and improved without spending hours on every small task. So, when modern AI capabilities are used correctly, they can genuinely become a major advantage in developing your business. The key is not to hand over the entire job to AI, but to use it as a tool that helps save time and get more done.
